Once registrations bot has completed. The online excel file given to you will update with status as below.
Please find how out to amend the details for a successful registration to be completed.
Status
New | This is the default status added to each record |
Completed | This is added when the registration is successfully completed |
Not Completed | This is added when there is an amendment of details required (please see the reasons and additional details for more information) |
Resubmit | This is added by the user to allow bot for re-processing the registration after making certain changes. |
Resubmit - as new | This is added by the user to inform bot to re-process but "continue as a new patient" rather than selecting a record from PDS look up. |
Awaiting further Info | This is added by the user if they are awaiting further information from patient, in order to make status "Resubmit or Resubmit - as new" |
Amending the details
Reason | Additional details | How to fix? |
Patient already registered | Manually registration may be required, patient may be inactive | Patient is already registered in your system and/or they may be inactive. If so, please manually register as bot cannot process inactive patients. Change the record status to completed once done in excel. |
Patient Record Found in Local | Manually registration may be required, patient may be inactive | As above |
Patient Record Found in PDS | Verify previous Gp or NHS number column or resubmit - as new | This error is thrown when patient has has "no" to previous GP registration and not given their NHS number but they are found in the PDS. You need to verify if it is the same patient as found in PDS and do 3 things in the excel online as below 1. Enter the NHS Number in the column K 2. Enter "Yes" in column H for previous GP 3. Enter the name of the GP or "NA" in column I |
No Record Found in Local or PDS | Verify previous GP or NHS number column | This is opposite of above. This error is thrown if patient has given their NHS number in column H and/or said Yes to previous GP. However, they are not found in the PDS. You need to verify the patients registration status and remove the data from NHS number (column K) or previous GP (column H) and resubmit the record. Note: There could also be a wrong NHS number format given by patient. |
No Record Found in PDS | Verify previous GP or NHS number column | Same as above |
Child registration | Verify parent/guardian registered +/- safeguarding | Verify if parents/guardians of the child are registered with the practice, this is a safeguarding safetynet. If they are, you can change record status to "Resubmit" and bot will process the registration. |
Patient demographics mismatched | Verify patients name, Dob, and/or NHS number columns | See next section below |
GP Automate Error | emis application thrown error, please resubmit the patient submission | This can be resubmitted for bot to process. |
System error | Address is incorrect/empty | See next section below |
System error | Operation is not valid due to the current state of the object. | This is a KD error by EMIS and can be resubmitted for bot to process. |
System error | patient could not be submitted | This is any other error in terms of filling patient data into EMIS. e.g. home number or email. |
System error | Conversion from string "30February2006" to type 'Date' is not valid. | This error means the data does not exist. Amend the date to be in correct format and resubmit the record. |
System error | Element not found | This can be resubmitted for bot to process |
Address is incorrect/empty
A typical full address should look like below. It should consist of Street name, House number, City, Post code and Country. All ending with a comma to separate them.
Once you have contacted the patient to retrieve the full address, you can change the status column to "Awaiting further info". This way, bot will not pick these patients to re-process.
Below are some examples of wrong filled addresses:

Verify patients name, Dob, and/or NHS number columns
This error could happen with one the 3 reasons as below:

Example 1 | Patient has given "Mr" as a title however, in NHS PDS, it is shown as "Master". In this case you will need to change the patients title in the online excel file for prefix column to "Master" | ||
Example 2 | Patient has provided NHS number so bot has found them in the PDS. However, the date of birth entered by the patient in the form mismatches witth the one in PDS. We need to contact patient and ammend online excel as requried. | ||
Example 3 | Patients first name or last name with any symbols such as é, á, í, ó or apostrophie/comma or a differnet language. | NA | This is not accepted by the bot and needs to be ammended in online excel as it is in the PDS data. Resubmit the record after making a change. |
Example 4 | Different patient's NHS number given. | NA | Patient could have provided correct NHS number but its for a different patient. In such cases, correct NHS number of the patient wanting to registered should be entered in NHS number (column K) in excel online. |
